Reports to: General Manager / Director of Operations
The Operations Manager for a Vessel Agency is responsible for overseeing and managing all operational activities related to the agency’s maritime services. This role involves coordinating vessel arrivals and departures, ensuring compliance with maritime regulations, and optimizing operational efficiency to deliver excellent service to clients.
Vessel Operations Management:
Oversee the coordination of vessel arrivals, berthing, cargo operations, and departures |Ensure timely and efficient handling of all vessel operations, including documentation and communication with port authorities and other stakeholders | Monitor and manage vessel schedules to optimize port operations.
Logistics Operations Management:
Oversee daily logistics operations, including transportation, warehousing, and distribution | Ensure timely and accurate delivery of products to customers | Develop and implement logistics policies and procedures to enhance efficiency.
Team Leadership:
Supervise, train, and mentor the operations team, including boarding agents and support staff | Conduct performance evaluations and provide feedback to improve team productivity and effectiveness | Foster a positive and collaborative work environment.
Transportation Coordination:
Coordinate with carriers, freight forwarders, and third-party logistics providers to ensure efficient transportation | Negotiate shipping rates and contracts with carriers to optimize costs | Monitor and manage carrier performance to ensure timely deliveries.
Client Relations:
Maintain strong relationships with ship owners, charterers, and other clients to ensure their needs are met | Address and resolve any client concerns or issues promptly and professionally | Provide regular updates to clients regarding vessel status and port activities.
Regulatory Compliance:
Ensure compliance with all local, national, and international maritime regulations and port requirements | Stay updated on changes in maritime laws and regulations and communicate these changes to the team and clients.
Logistics and Coordination:
Coordinate with port authorities, customs officials, and other relevant entities to facilitate smooth vessel operations.
Financial Management:
Monitor and manage the budget for vessel operations, ensuring cost-effective use of resources | Negotiate rates and contracts with service providers to optimize costs | Prepare and analyze financial reports related to vessel operations.
Safety and Quality Assurance:
Implement and enforce safety protocols to ensure the safe operation of all vessel activities | Conduct regular audits and inspections to ensure compliance with safety and quality standards | Address any safety or quality issues promptly and effectively.
Process Improvement:
Continuously evaluate and improve operational processes to enhance efficiency and service quality | Implement technology solutions to streamline operations and improve accuracy.
- Bachelor’s degree in Maritime Studies, Logistics, Supply Chain Management, Business Administration, or a related field.
- Minimum of [5] years of experience in vessel agency operations or maritime industry.
- Proven leadership and team management skills.
- Strong knowledge of maritime regulations, port operations, and logistics.
- Excellent organizational and problem-solving abilities.

This role involves a variety of tasks, including administrative duties, content creation, and digital marketing support to help promote the company’s products and services effectively.
Digital Marketing:
Support the management of social media accounts by scheduling posts, monitoring engagement, and responding to comments |Assist with email marketing campaigns, including drafting emails, managing contact lists, and tracking performance metrics | Help maintain and update the company website with current content and promotions.
Content Creation:
